Focusing on the Executive Position to the President, in the training process we are going to focus on two areas, one technical in nature and the other administrative in nature. Following the 8 step process to designing training session, we will be sure to identify everything needed to ensure the technical accuracy in a way that is easy to learn. The two areas of the Executive Assistant position we will focus on is projects utilizing Word, Excel and PowerPoint, and making travel and meeting arrangements.
Step 1: The Need for this training is to ensure the complete understand of the technical aspect of being able to produce the necessary documents for projects. In addition, they will need to understand the scope of travel and meeting arrangements, what is involved in the entire process and to be sure that nothing is missed.
Step 2: The objective of this training session is to ensure that the learners have complete understanding of the necessary software to perform their job to the best of their ability.
Step 3: An evaluation process will be performed to ensure the learners understand their tasks. The evaluation process will consist of role-playing in front of the group, and mock-up projects to practice with.
Step 4: The leaner needs to learn an variety of skills listed below. These will include;
1.
Basic word techniques for writing memos, letters, mail merge and faxes
2.
Basic excel techniques for developing spreadsheets to track project information, to include basic formulas dealing with multiple work sheets, and linking to word and power point.
3.
Basic PowerPoint function that will include, slide transition, outlines, inserting graphics and charts, linking spreadsheets and creating disks for slide slow presentations.
4.
Outlining detailed information about how to track project information to include making travel and meeting arrangements
Step 5: For the technical information, we will create mock-up projects for the learners to practice in. We will divide these projects into some group and some individual projects. We will also use role-playing techniques for both making the arrangements and PowerPoint techniques.
Step 6: To open with a attention grabber to ensure that the class will be fun and to break the ice. I will start the class by showing on an overhead a extremely poorly done letter. Tell a story about how I felt about the person that wrote the letter and then go into the importance of using proper techniques.
Step 7: A good way to break the ice among the learners at the start of the class is to get the learners to interview one person in the class and then they have to introduce and give a presentation about that person.
Step 8: In step 8 of the process, we will go over the class with current employees to ensure we get rid of problems we may have with the process.
