Choosing the Best Accounting Software for Your Business

Choosing an accounting software package can be frustrating simply because of the sheer number of options available. Depending on your needs and industry, you have scores of possible accounting software programs, and narrowing down the list will be your primary objective. Not only should your accounting software be accurate and easy to use, but it should also offer the components you need in order to run your business efficiently.

The first step is to decide whether your want to purchase a generic accounting software program - one that can fit all kinds of businesses - or an industry-specific program that is tailored to your individual needs. Unfortunately, many of the industry-specific accounting programs are too expensive to justify their purchase, but in some cases the benefits outweight the cost. My advice is to look at three different generic accounting programs and three industry-specific options before deciding on the program you like best. Beyond that, here are a few tips for choosing the best accounting software for your business.

1. Annual Revenue

The amount of money that your business pulls in every year should be proportionate to the complexity of the accounting software you choose. If you buy an accounting software program that has too many functions that you won't ever use, and if it complicates your business structure, the accounting software isn't doing its job. Likewise, purchasing an insufficient accounting software package will result in a lack of functions that might hinder your efficiency.

2. Your Industry

The accounting needs of a web design company will be far different than those of a retail outlet. You must learn to customize each aspect of your business to the industry. While you might not want to purchase industry-specific accounting software, the industry of your business will play at least a small part in the accounting software you choose. Further, extremely specialized industries might require industry-specific software in order to function properly.

3. Components

When researching accounting software programs, be sure to look at the components of each. For example, don't purchase accounting software that includes budgeting and invoicing if you don't require those functions. The difference between a base-line accounting package and one with all of the bells and whistles can amount to hundreds (if not thousands) of dollars that you might not need to spend. Beware, however, purchasing accounting software that has too few components. It's better to spend the extra money for something you need - it will save you time and money later on.

4. Support Structure

Some accounting software designers not only provide phone and Internet support, but will also provide in-house training on the software so that you can get the most out of it. Weigh the size of your business and the extent of your needs against the support provided. You don't want to be stuck with high-grade accounting software that cost you thousands of dollars and no way to actually use it because there is inadequate support.

5. Ease of Use

If you and your employees get confused every time you open your accounting software, it isn't doing its job. Most accounting software packages are quite user-friendly, but some require a little more finesse. Choose an accounting software package that you and your employees can use on a daily basis with little or no assistance or confusion.

6. Professional Endorsements

As with any other product you buy for your business, accounting software that is recommended by an accountant or CPA is worth looking into. Talk with an expert in the industry and ask what type of accounting software he or she would recommend; in fact, talk to several experts. Although all accountants will have their personal favorites, they can usually make a suggestion that will fit the needs of your business.
