    The best solution for making data available for different work places is to keep it stored on a server via the Internet. The person that controls the server can do the backups and keep it clean. Google offers free but limited space to do this and the ones that cost are cheap. Keep highly personal data on USB flash drives backed up from one of the main computes you use. Eliminates having to go through all this stuff. Also, use Linux, then hardware failures become the only issue for losing data.
