Introduction to OneNote

OneNote is a virtual notebook that is useful for keeping records of client information, meeting minutes, and related documentation.

• OneNote's advantages over tradition paper notebooks include:
• Information is searchable
• Notebooks can be shared for team collaboration
Microsoft Office documents can be saved in OneNote
• OneNote can synchronize with Outlook
• Notes are not permanent after being created, and can be reorganized

Getting Started

OneNote can be opened from the "Programs" menu in Microsoft Windows.

1. Click on "Start" from the taskbar.
2. Select "All Programs."
3. Select "Microsoft Office."
4. Click one "Microsoft Office OneNote 2010."
5. The application will open.

Note: A shortcut to OneNote can be added to the Quick Launch toolbar in Windows XP or Vista. OneNote can be pinned to the taskbar in Windows 7. A desktop shortcut can be created in any Windows environment.

Creating a Notebook

1. To create a notebook, first select the "FIle" dropdown from the Ribbon.
2. Click on "New."
3. The 'New Notebook Wizard' dialog box appears.

4. Select where the Notebook will be stored. Notebooks can be used on multiple computers and shared with multiple people.
5. Enter a "Name" for the notebook.
6. Select the location to save the notebook.
10. Click "Create Notebook" to save the new notebook and begin working in it.

Sections

Sections are groups of pages and subpages that pertain to a specific topic. For example, each client can have a section. Sections appear as tabs above the note page.

1. To rename a section first double click on the section.
2. The section name will be selected.
3. Type over the existing text.

Creating a New Section

1. To create a new section click on the + tab at the top of the Notebook page.
2. The new section will appear.
3. Type the name for the new section.

Naming the Page

Each page contains a header area. When tying in the header the page will automatically be named.

Entering Notes

Notes can be entered a variety of ways:

i. Typing
ii. Writing
iii. Clipped from the Internet

Typing Notes

1. To type a note use the cursor to click anywhere on the note page.
2. The insertion point will appear.
3. Begin typing.

Writing Notes

OneNote contains "Pen" tools to write notes freehand.

1. On the Ribbon select the "Draw" tab.
2. On the "Draw" tab select a pen style from the "Tools" gallery.
3. Use the pen tool to write notes on the page.
4. To return to typing notes on the "Draw" tab in the "Tools" gallery click on the "Select and Type" button.

Clip Notes from the Internet

OneNote's "Side Note" feature allows for a small window of OneNote to remain open while working in other applications.

1. To open Side Note first select the "View" tab on the Ribbon.
2. In the "Window" gallery click on the "New Side Note" button.

Note: The keyboard shortcut for a Side Note Window is Windows+N.

3. One Side Note window will open.
4. Navigate to an application to clip a note from.
5. Click on the "Clip" button from the Side Note toolbar.
6. The application window fill fade and the cursor will become a selection tool.
7. Click and drag over the area to add to OneNote.
8. Upon releasing the mouse button the selection will be entered into the Side Note window.
9. Information stored in the Side Note window automatically appears in the "Unfiled Notes" section of the Notebook.

Creating Pages and Subpages

Each section can contain multiple pages. For example, a page for contact information and individual pages for phone conversation notes and meeting minutes.

1. To add a new page click on the "New Pages" button to the right of the note page.
2. An untitled page will appear.
3. Enter the page heading to name the page.

Subpages

Subpages can be added to any page for supplementary information, such as related links, images, or directions.

1. Select the "New Page" dropdown to the right of the note page.
2. Click on "New Subpage."
3. Enter the page heading to name the subpage.

Organizing OneNote

Unlike with traditional paper notepads, with OneNote sections and pages can be reorganized with ease.

Color Coding

1. To color code a section first right-click on the section tab to color. A context sensitive menu will appear.
2. Select "Section Color" from the menu.
3. Click on the desired color from the list.
4. The tab will display in the selected color.

Rearrange Sections

Sections in OneNote can easily be moved from one position to another. For example, the most important clients can be moved to the first positions.

1. To move a section, click on the section and drag it to the desired position.
2. The 6 indicator point to the position that the section will fall in.
3. Release the mouse button. The section will take its new position.
