Halloween Fall Festival Party Planning

The best way to plan a Halloween party or a fall festival for your organization is to get several key volunteers who can oversee each part of the party. The main fall festival components will be: donations/tickets, food, games, door prizes, and public relations or advertising. You will need to put competent volunteers in the lead roles to make your Fall Festival near Halloween a success.

Once you have all of the main volunteers you will want to explain their jobs to them in greater detail so they can get things done in time for your fall festival or Halloween party.

Donations/Tickets: This person will need to do all of the calling and picking up for anything that will need to be donated to your fall harvest festival. They may need a letter from you school, church or organization on official letterhead by someone in charge asking for donations. If you have a list or can come up with a list of potential donations and donators (businesses, politicians, etc.) and a script for this person to use when they call. If you are going to sell tickets for entry or for an auction they will need to get other volunteers to help man the ticket tables and sell tickets.

Decorations: You may want an artsy type or an artistic person for this job. Window painting is often a big hit for Fall Festivals around Halloween time. You can use regular acrylic craft paints in those small bottles to paint on windows and it will come off with spray bottle of water and a plastic paint scraper.

It is also this person's job to transform the building or space into a Halloween or fall looking fun place. You may want to decorate your space with hay bales, pumpkins, scarecrows, wall signs or posters and decorations. The entryway or ticket center should really tell the attendees that they are at the right place for the Halloween party or the Fall Festival fun.

Food: Where, when and what type of foods will you serve is what needs to be decided. Will you have snacks or sandwiches? Will they need plates, cups, napkins, or etc. to eat the food? How much will you charge for each food item? Also more workers will be needed to serve your fall festival goers their food.

Public Relations: This person will be in charge of all advertising for your Halloween Fall Festival event. Some type of large sign in front of the party place will need to be made or secured. This person should do any fliers that need to be printed up. They will need to contact the newspaper or radio if you want to do that kind of advertising for your fall festival.
