During the process of communication, a person dons two roles; one is that of the giver of information and the other is the recipient of the information. We have to ensure that while communicating we are essaying both the roles well.
One very important aspect of communication is gaining clarity on what is being communicated. When you are delivering a message to another person, you become the sender of information. You need specify your objective correctly. Be clear about what intend to say to the other person. Ensure that you structure and organize what you intend to say. This helps you communicate your ideas and thoughts more effectively to the listeners. Also, ask the listener constant feedback to ensure that they are listening and understanding what you intend to communicate.
Next, as a recipient or listener, how do you ensure clarity on what is being communicated? First of all, listen carefully. Avoid any physical and mental distractions. Keep an open mind and listen to what the speaker has to convey? If you feel you have not understood a particular point, please ask questions and gain clarity. It is better to confirm rather than get confused.
The next important aspect of communication is to keep the information crisp and concise. Keep the language simple. Ensure that you are specific and to the point. Do not use terms that others are not familiar with when speaking to a group of people.
Voice plays a very important role in communicating effectively. Remember not to speak too loud or too feebly. It diverts the concentration of the listener from what you intend to communicate. Hence, ensure that you speak at an appropriate volume. Also, make sure that you intonate what you say well. Stress on the certain words to convey their importance. Do not sound flat and monotonous because the listener will not be able to differentiate between important and unimportant points and the message will be lost on the listener.
The next important factor that effects good communication is the rate of speech. When you either speak too fast or too slow, the listener fails to understand you correctly. Hence, remember to moderate your rate of speech in order to reach out better to your listeners. Pause in between and ask the listeners questions in order to ensure that they understand the idea you intend to communicate.
A very important, but often ignored, aspect of communication is the non-verbal cues you send across to the listeners. Ensure that your posture is right and also use the right gestures while communicating. Your appearance and facial expressions also count while speaking to another person.
When speaking to people remember to keep your emotions well under control. Speak and listen with an open mind. This will help you prevent sudden outbursts of emotions. Display self confidence and be assertive while delivering some important information.
