Before the Meeting
It is important to keep a few things in mind before the meeting in order to ensure that your meeting starts of on a good note.
Tip 1: Ensure that you decide on the time for the meeting well in advance. Once, that is done ensure that the meeting invite is sent out to all participants of the meetings.
Tip 2: Make sure to get a response to the meeting invite you send out to all the participants. This gives you a clear understanding on the number of participants who will be attending the meeting.
Tip 3: Make a clear note of the objective and purpose of the meeting. Communicate this to all the participants so they can come prepared for the meeting.
Tip 4: Make sure the venue for meeting is clearly communicated to all the participants. Also, send the agenda for the meeting to the participants so they know how the meeting is going to proceed.
Tip 5: Ensure that you do all the required groundwork required for the meeting. If you are discussing the team's performance and productivity during the meeting, it is better to have the required numbers ready in order to clarify questions of the participants.
Tip 6: If you are not the leader of the meeting, but just a participant, then, ensure that you gain clear understanding of the leaders expectations from you. If the meeting is to review the status of an on-going project, ensure that you have all the project details and presentations ready. This will help leave a good impression on your leader.
During the meeting
Tip 1: Make sure you are at the venue of the meeting on time with everything ready. This will help prevent any delays which tend to throw work out of gear.
Tip 2: Run through the agenda which was sent out to the participants before hand and ensure that the team sticks to the agenda.
Tip 3: Listen carefully with an open-mind and be receptive. Ensure participation by all team members. In case any point is unclear, make sure to ask questions to clarify understanding. Take notes and work on them later if necessary. Keep distractions to the minimum and concentrate of the point of discussion.
After the meeting
Tip 1: Quickly summarize the points discussed and provide feedback if needed on any.
Tip 2: Ensure that the participants carry out the actions discussed and also make sure that you follow up on the action items.
Keeping all these points in mind while planning meeting will make your meetings more effective and productive.
