How to Be Efficient Even when You're Multi-Tasking

Management Tip

Have you ever experienced being lost on where to start working? You tried to prioritize your activities by seeing which is urgent and which among them is the most important to finish? You even tried to assess how it would affect other people. However, you were left astounded because it seems that almost all must be finished and as per priority, it all seems important and urgent. What to do then?

We are usually faced with these kinds of problems. Many of us are occupying positions in our company or organizations and others are actually holding significant post within. We know our priorities... Yes. But still one act of being unable to finish one activity against other activities would affect our team members. Most often then we start with one activity and at the mid of it you again start another. We tend to multi-task but the result is that we end up doing a job that is "Ok" and not the "Best".

The answer to accomplishing great things is through Commitment, Unity, Sense of Urgency and Focus. We do have commitment when we try to achieve our task. Showing up is a sign of commitment. Performing and being involved is better than showing up and also reflects the level of our commitment. Unity is when we worked together with a team to accomplish success in an endeavor. Sense of urgency is when you try to keep abreast to speeding up processes and acts so that you achieve your goal at the soonest possible time. However, when you rush things, that's when the tendency to be rattled comes in. What you need then is "Focus".

When you have decided to start working on things, lets say accomplishing a target for sales of a products, focus on meeting that target and do not get diverted with other opportunities YET. Another example is when you have to attend a meeting with other officers in the organization. Bring down all the agenda you have written down and do not let the meeting stray away from the actual topic. Bring them back to what you need to close then allot extra time at the end of the meeting for other suggestions and concerns.

When I started this article, I was supposed to start with my work for the day, but my sister-in-law needs the phone line. Thus, I was not able to start with work immediately. Since I have already started with the title of the article, when my sister-in-law informed me that she's through with the phone, I did not immediately assumed my work because I am already focused in finishing this article. I noticed it is easier to finish a job and that the flow of thought comes in continuously because I have my mind made up. That is one advantage of being focused. You tend not to think of other things so you are able to finish your job earlier and find more time to go on with another work. The learning also sinks in better if you are focused and well attuned to what you are doing.
