For those having difficulty with explaining video conferencing, you may want to do a bit of research yourself in order to get a good grasp of the idea. The internet has a wealth of information that you can browse through on the subject, as well as information technology magazines and computer books.

Once you have researched and you are better informed yourself, then you will better equipment to explain video conferencing to others. In order to assist others in understanding the means of virtual communication and the new technology, you should:

1. Provide a video conferencing definition.

The reference to a new technology in communications involving connecting users at separate locations by video and voice is video conferencing. In this situation individuals are talking face to face to each other, as they would if they were in the same room. A personal computer, microphone, web cam and broadband internet connection are needed for the virtual means of communication and allow for video conferences.

This virtual communication technology allows normal conversations to take place, as both parties are able to see and hear each other in real time. Video conferencing also requires a good bandwidth in order to accomplish maximum potential, and each individual's computer should have high fidelity streaming of video and voice.

2. Thoroughly explain video conferencing need.

Acceptance and adaptation to the new technology should be encouraged and an explanation of what it is and the technology behind it should commence in order to offer an overview of the need for video conferencing. Practicality is one reason that should be given for why video conferencing is a good idea. It should be explained to individuals that video conferencing can alleviate the need for travel and physical meetings.

While it is true that some of the same can be accomplished on the telephone or via email, more of a hands-on business approach is offered and more of an impact can be made with video conferencing. There are more results that can be offered by video conferencing, as live conversation is a better means of showing professionalism and other visual information can be given and acquired throughout the process of conversation.

3. Demonstrate how it works.

Even after you verbally have explained that system and process of video conferencing from top to bottom, there are those individuals that get a grasp on information more easily with a step by step instruction of the process actually being done. In this way individuals can ask questions of each step while getting a glimpse of how the system works. The overall concept of individuals conversing face to face from two separate locations may be an overwhelming idea for some.

It would be a good idea to set up a video conversation with another individual and have several people observing the process and participating in it. The audio and video message transmission aspects of the video conference can be demonstrated at this time.

Whiteboard or computer displaying of information to share with others in the video conference can be shown as well.
