How to Write a Complaint Letter

If you are looking to write a complaint letter that gets results, then look no further. Below are a few tips you might found useful and helpful in creating a successful complaints letter:

1. Draft out your letter - Draft out the structure of your letter. Decide what you will put in and why, remember to refer to what you are complaining about and why.
2. Always address the letter to the person in Customer Services or Complaints Handling. Don't just send a letter to the company, make sure it is addressed or FAO to the relevant person.
3. Always include your contact details and a contact number so the company knows who to reply to and where to send their correspondence to.

TOP TIP: Remember that not all complaint letters have to be negatively written or worded. You could use a more helpful suggestive manner in which you write to get the results you want.

4. In your complain letter/s always include what action you would like to seen or be taken. For example if you picked up a bad packet of cereal then tell the cereal company that you would like more quality control checks to be taken to ensure this doesn't happen again.
5. Remember to get your point across in a prompt yet effective manner. Nobody wants to read a 5 page complaint letter so try and keep it as brief yet informative as possible - Ideally 1 page or under. Remember the KISS acronym - Keep it simple silly.

TOP TIP: Don't just complain for the sake of complaining. Make sure you are complaining for a valid reason or else you will be just wasting both yours and the company in questions time and energy.

6. Remember to ensure that your letter has 3 sections, just like a short story - a beginning - a middle and an end.
7. Remember to refer to where you purchased the said product or service that you are complaining about.

TOP TIP: Always keep a copy, either a paper based or computer based copy of each and every complaint letter you sent and use this to either follow up on your complaint or as a basis for another complaint letter.

I hope you have found this letter both helpful and useful. Good luck with creating a killer complaint letter. Remember to justify and back up any claims, accusations or allegations you are making in your complaint letter.
