Planning: The better the plan, the better you are prepared for anything that may come your way. Focusing on the project plan means that you can be sure to have all requirements, and ways to meet those requirements already figured out, and there should not be any unexpected catastrophes.
Scheduling: Scheduling meetings with clients and team members in a timely manner to allow for error, and giving yourself time to correct possible errors, is key to success. Make sure that you plan meetings frequently as part of your project timeline. Not everyone has to attend every meeting, but be sure that key members on either side, client or team are in attendance when necessary. Talk to the members and be sure that the meetings are arranged at a convenient time, and prepare for instances where certain members cannot attend. Preparation for worst-case scenario often leads to success because no matter what hits you, you are ready for it.
Organization: Keeping everything organized means that you will save yourself some stress when clients or team members request information about the project. If you cannot find a document or file when either party requests it, you give yourself some easily avoided stress. Devise a clear organizational system from the beginning, and stick to it. Make sure that everyone working on the project from both ends is aware of it, and understands it.
Record Keeping: Perhaps the most important aspect of successful project management is the record keeping. Keep track of dates, files, and all correspondence. This way, when the client comes asking for information about a particular aspect handled by another team member, you have proof of the request, and when it was handled, should there be a problem later. Always create a paper trail, and a very extensive one at that, to cover all your bases with the client and your team members. This way, potential disasters can be avoided and everything can be tracked if one occurs.
Communication: Insist on status updates frequently. If you are unaware of an issue, you will not know how to handle it, and it creates problems. If you know what is going on at all times, you can foresee and prevent roadblocks in the future. If at any time during the project, communication becomes an issue, do something about it immediately.
Backup Plan: Always prepare for the worst. Have an alternate plan of attack in the event that something out of your control should happen. It may not be a favorable course of action to take, but it is better than nothing at all, or not completing the project. Hopefully, you will not have to use it at all, but it is better to be prepared.
Following these key tips will help you make sure that your project goes off with as few hitches as possible, earning you a better reputation with clients, and keeping you more stress free during the process. Follow these guidelines for sure success!
