Preparation for Data Loss Disaster Part I

In the computer industry, disasters can happen when you least expect it. It could be a fire, computer crash, stolen hardware, & etc. The strange thing is that many business owners or individuals never prepare for such an outcome. When disaster strikes, they freak out & panic. Only then do they regret why they did not ready a plan in the first place. Come to think of it, I reckon I should buy a secondary hard drive & backing up the data on my pc as soon as possible. My photos are starting to take up space on my computer's hard drive & losing them would be a disaster for me.

Moving on, having prepared for a disaster, you can deal with any unwanted situation. Before you go out & buy a secondary hard drive, firstly you may want to analyze your business operation. The questions to ask is how often does your system fails & how long does it take to fix the equipment, & how to go about with business without the available equipment. Also, you may want to identify the risks of the disaster. The cause of the disaster is important to know & anticipate for finding the most appropriate solution. For example, your office cannot be used temporarily then you will have to find another location for business.

Well, pretty much all the maintenance & preparation will be done by one or two person instead of a large team.

The personnel will have to create & test IT systems backups. Also, the backups will have to be placed in a safe place out of harm's way as part of the data recovery plans. An up to date inventory of all the equipment & material is essential. In the event of a disaster, it will be easy to identify, purchase & record the equipment or material that needs to be replaced. The inventory will include the phone numbers & addresses of the equipment supplier for immediate contact in emergencies.

The data should be backed-up on a weekly basis. The most important documents & files can be stored on an optical storage disc like a DVD or CD. You can also use micro hard drives or flash drives for faster storage. All the above mentioned storage options are the cheapest & easiest to do for making data backups. With data backups, a disastrous hard drive failure will not make much of an impact on your normal day to day business. Deal with the disaster problem, fix the equipment or purchase new stuff while you continue business as usual.
