Preparing Your Office for Your Vacation

Vacations are something most professionals like to take. It is one of those nice perks that come with years of experience and years of education. It is the reward we have earned for all of our contribution to the company and to our personal lives. The problem with many vacations is that there are problems that can arise when you are out. You may come back to find that you no longer have a job. Before you go on vacation make sure you have prepared your company for your absence and protected your good name for the time you are out.

Delegate Your Tasks:

While you're gone someone or a group of people are going to have to cover for your absence. This means that they will need to pick up the work that you are currently doing. In many cases, you might have half finished projects that need to be completed. Therefore prepare your projects to be delegated, give a list of your delegation to your boss and give access to appropriate information for the people who are doing your projects.

Make sure that the work that you are passing them is up-to-date. Don't pass off to your workers or colleges projects or works that are seriously past due, not up to date or have major flaws with them. The worst time to anger your partners is when you are on vacation because the perception becomes "Oh...he is on vacation while he left everything undone".

Make Yourself Look Like a Model Employee:

During prolonged vacations of a week or more it is often necessary for your boss or your employees to search through your desk and files for important information that you forgot to give them. While they are doing this they might come across a few bad things that you have been doing while working. Perhaps you have lots of personal emails, inappropriate material on your computer or files thrown in a chaotic manner. Make sure that you clean these items up before leaving.

Get Vacation Permission in Writing:

Let us say that you have planned this vacation six months ago and when it comes time to leave your boss says "No, I never said you can go on vacation now". You might be in a situation where you boss thinks you are sick for the week but you are on vacation. Even worse, someone may challenge you on your vacation because you didn't get permission beforehand. When you go out for an extended period of time make sure that you have written permission.

Leave Contact Information and Stay in Touch:

It may be necessary to stay in touch with your office when you are gone or to leave contact information where your office can get in touch with you in case of an emergency. At times issues that come up might need quick assistance and it is much better to give assistance over the phone than to put everyone into a wild goose chase. You don't want to come back from a vacation and have to clean up everyone's mess.

Good tips. I always leave word with my bosses and co-workers that if there's an emergency or crisis to please call me while I'm on vacation. I'd rather spend 15 minutes on the phone solving a problem while it's happening then to come back to a huge mess that will take days to clean up.
