A survey invitation should pique the curiosity of its recipient for them to open their email, click on the survey link and to be able to generate a response by completing the survey, thus increasing the number of the respondents. Here are 5 tips to increase the rate or chance of opening your email:
- Your "From" name should be easily recognizable by putting your company's name or the name of an individual
- The subject line should be short by having 35 characters or less
- Avoid triggering spam filters by removing words such as "important message" or "free" in the subject line and avoid using all capital letters, dollar signs and exclamation points
- You should not send more than one survey per respondent every week
- Send attractive messages by using the formatting toolbar in creating texts or include images. Bear in mind that attractive messages have more chances of being opened and email programs such as Outlook can let the recipient have an overview of the email before opening it.
- If possible, include some personal information like the recipient's name for example.
- Always take the time to thank the recipient for their participation
- Clearly state the purpose of the survey
- Tell the invited recipients how they could benefit from the survey. One example is that if you are going to use the survey to improve your service to them, they should be told about it so that they would be able to answer the questionnaire and finish the survey.
- Specify how long it will take to finish the survey. 5 close-ended questions are estimated to take a minute to answer and 2 open-ended questions will take another minute to finish. You can ask your friend's help by sending them a pre-test of your survey and ask them to answer it while you record the time that they took while answering the questionnaire.
- Reassure your respondents about the confidentiality of their answers
- If there is an incentive if the respondents have completed answering the survey, you should inform them right away before they answer the questionnaire
