Offices that have multiple members who perform duties upon which other members are dependent upon information can and will have woeful communication if their is a lack of time set aside for meeting. If you are in charge of your office meetings you need to schedule a set time each week that you will meet together. Staff meetings require representation from all levels of staff. If you are an upper level executive or a part time maintenance worker you need to make sure and have representation. Staff meetings should contain information on scheduling, examining responsibilities, and tasks. One person should be responsible for making sure that the staff meetings carry on in a timely manner and waste no time. Set up clear goals of what you want to accomplish in your staff meeting and stick to a time schedule each week.
Effective office communication needs efficient calendaring.
Whether you use a calendar hanging on the wall or your office has an array of the newest office technology you need to have a good calendaring plan. There should be one main calendar in your office that establishes the days, weeks, months, and years activities and plans. If you prefer to have a computerized calendar it is a good idea to have a compatible calendar that is networked throughout your office area.
Effective office communication demands commitment.
If you have on again off again staff meetings it will lead to stress and frustration for all members of your office. Make sure and only change schedules when it is absolutely necessary. If you skip staff meetings or treat them as less than important, then you establish a lack of trust among those who are depending on a set schedule. Commit to making sure your staff meetings, planning sessions, and calendaring sessions all happen on a regular schedule.
Effective office communication should take advantage of new technology.
If your office is stuck in the dark ages and you are still using wall calendars, phone calls, or pagers, then it is time for you to advance. Learn about the beauty of resources like texting, video conferencing, and social networking. Make sure that all pertinent personnel are on a central texting list so that text messages about upcoming events can be sent in a timely manner. The newest video conferencing resources allow face to meetings from miles away and across the world. Social networking sites like facebook, and twitter, can be used to establish connections between all office personnel. Using these resources allow for each member of your office to be kept up to date on important information.
The most effective office communication methods can be very specific to your office. It is a good idea to poll those in your office about their ideas on how to better improve your office communication. Trust your employees, trust those you work with and establish a plan that you will stick with as your office and your business grows.
