Tips for Writing a Successful Query Letter

Some of the most successful freelance writers in the business are surprisingly not the best writers. However, these people are the best query writers.

The goal of the query letter is not to get the most money for your writing. Contracts, assignments, and negotiations all come later. The goal of the query letter is to catch the editor's eye. As it happens, the majority of national magazine publications buy scads of freelance material. In fact, many use 100% freelance material to fill their pages. These editors are looking for good talent and know how to spot it. But, they also happen to be looking through scads and scads of manuscripts, queries, and notes. By catching the editor's eye with a crafty query, you are guaranteed to set yourself apart from the slush.

The first rule to keep in mind is appearance. These editors know the business, and they can spot an amateur without even opening a query envelope. If you are serious about the freelance business, make sure to invest in some stationary, envelopes, and business cards. A simple and professional note on personalized stationary can save your query from entering the trash before it gets fully read.

Next is to follow the query format.

First you must begin with a hook paragraph that captures what you intend to write and encourages to reader to continue. This paragraph can even be the opening lines of the actual article. The key here is to alert the reader of the content and of your skill as a reporter. This opening is crucial not only because it is the first thing an editor will read, but also due to its role as the initial vehicle for transporting your idea to the reader.

Next is the partially fleshed out paragraph. After gaining the editor's interest, you must explain a bit more about the article. Do you have interviews lined up already? What has your research provided to you thus far? Also, this second section should provide the word length and the general structure and goal of the article. Be sure to include main topics to be covered, what particular slant you intend to give the article (make sure to research your publication and understand the tone of the magazine), and how this article fits within the scope of the publication.

The final section of your query should explain why you, and not a staff writer or another freelancer, should write this article. The key here is to know the magazine, and be effective at self-marketing. Include references to articles you have written that correlate to the article you are pitching, explain your background and how it fits within the suggested topic, and include a brief bio that illuminates both your professionalism and your credentials. By molding a query that clearly attracts a reader and incorporates your body of knowledge into the topic, you are sure to capture the editor's eye.

In closing your query, be professional and cordial, and be sure to include the best means of contacting you. During your research, you should have found information regarding the publication's requirements in terms of queries. Depending on the magazine, send clips, resume, or additional materials. It's generally a good idea to enclose a self-addressed stamped envelope as well as a business card. The goal is to leave the editor not only interested, but also with a general trust in your abilities as a writer and as a freelance professional.
