Using an Auto-Responder for Your Company's Newsletter: A Faster, More Efficient Method for Writing Newsletters

If you're reading this article, chances are you either have a business on the Internet or otherwise have an e-mail mailing list or current and prospective customers. A list can mean more income, if used correctly, so if it isn't an important part of your marketing program yet it should be.

The biggest problem many business owners see with running an e-mailing list is the fact you have to spend several hours, week after week, promoting your products via email publication. It can be an off-putting task devoting so much time every week to something that seemingly doesn't give you a good Return On Investment (or ROI).

You want to make sure your customers remember and respect you, but the effort seems too great. Well, what if there was a way you could utilize an e-mailing list that would reach your list of prospective and current customers every week without the troubles involved with inventing new content and using up your valuable time?

Good news: there is.

It's called an auto-responder: a device that houses pre-compiled newsletter content. With an auto-responder you can send out issues you've written in advance to your subscribers on a weekly basis. Although it seems like a fair amount of extra work in the beginning, as long as you use the time wisely you should come out ahead of the game. if you set a block of time, say, once a month aside to write a newsletter for the next four weeks, the rest of the month the auto-responder will send out your newsletter for you without you having to worry about it.

In the long run you'll save more time than if you had to sit down every week and come up with brand new content, then type the content onto your computer. This will especially come in handy if much of your material comes directly from your products or services, since you won't need to research much of the information and you can create your newsletter straight from previously gathered sources.

If you're ambitious, you could keep a number of newsletters in queue equal to a few months and simply write another one when you have time. Even though you'll be spending more time at the beginning, this way you won't have to worry about falling behind. Customers who expect a publication from you every week will be disappointed if you fall behind, and it makes you seem unprofessional, so writing a number of newsletters ahead of time will help ensure you maintain your businesslike appearance.

If you do plan to cut down on the number of newsletters you send, let your customers know ahead of time so they aren't surprised. It's better to simply send out fewer newsletters than fill your weekly supplement with useless "filler" information. When you get to the point you feel you no longer need weekly newsletters, the auto-responder program will shine; you'll be able to queue up several months' worth of newsletters and have them all sent off without a hitch.
