A digital workspace is an online extension or your office or personal workspace. A digital workspace is the ideal workplace for anyone that has to collaborate with persons in different locations. You can create, share, change, store and access your documents from any Internet connection. While sharing your work, changes can be made directly to the document or drawing or whatever projects you are working on by you and by others that are in your group no matter where they are physically located as long as they have Internet access. Your documents or projects can be stored on the web eliminating network sharing issues.
The use of the interactive whiteboard in the digital workspace makes interaction with other members of the group seem like everyone is in the same room. Video conferencing with audio allows input from anyone that you allow. If you have a group that is only viewing the conference, they can have their audio shut off and discuss what is going on without interfering in the conference. This can be helpful if management wants to watch project members and their individual performance within the group. The best part is each member of the group can have an updated copy of work completed at the end of the session.
You can limit the access by using a password and you can also prevent certain members of the group from making changes if you wish. You can allow or deny access, viewing or editing to just one document on your project or to the entire project. You can also allow or deny access, viewing and editing to individuals or groups as defined in your permissions. Managing your permissions is vital to the success of your digital workspace.
When you have team members on a project that are in different locations, it can become very tedious to merge different types of documents into one document. Instead of manually making changes to each document, you can all be online at the same time and viewing, discussing and editing your document online. The changes will be stored in your final document and you will all be in agreement when it is finished.
The digital workspace is not only limited to office projects or document production. Some companies use their digital workspace to give their clients high quality sound with automation capabilities. They can do overdubbing, editing and mixing and tracking for their clients in real-time. There are also digital workspaces for photographs. Your photos can be retouched, printed and stored in online workspaces. Many online workspaces offer Web 2.0 interfaces without having to install them on your computer. They provide SSL security, workspace databases, integrated email, a workspace dashboard, universal file/format support, file input and output options, sharing options and management tools.
